01 Product Introduction
Product Overview
Product Positioning
WMS Warehouse Management System focuses on refined control of warehouse operation processes, covering machinery equipment, auto parts, electronic assembly, aerospace and other industry scenarios. Through comprehensive digital modeling of "people, goods, warehouse, location, equipment" in the warehouse, it achieves real-time control and intelligent scheduling of inbound, outbound, counting, transfer, and inventory allocation operations. It is the core system for enterprise logistics digital transformation.
Core Value
① Through wave strategy, picking path optimization, location recommendation and other algorithms, reduce personnel walking and search time
② PDA/handheld terminal scan operation improves data real-time, replacing paper documents to achieve paperless operations
③ Optimize warehouse space utilization, automatically recommend optimal storage locations based on product attributes, improving storage capacity utilization
④ Seamlessly connect AGVs, automatic sorting lines, automated warehouses, electronic labels, etc., achieving the closed loop of "system commands equipment, equipment feeds back data"
Pain Point 1: Inventory accounts don't match physical goods, stagnant materials accumulate
Traditional Mode Dilemma
Warehouse operations rely on manual bookkeeping with data lag, accounts don't match physical goods, storage locations are disordered, stagnant materials remain unclaimed for a long time occupying capital and warehouse space, and regular inventory counting has large differences and takes a long time.
Digital inventory, intelligent identification, status alerts
- Automatic real-time inventory update: Real-time scan operations, accounts and physical sync: receiving, putaway, transfer, issuing, returning all via PDA scanning, every operation updates inventory in real time, eliminating information lag.
- Refined inventory status management: Partition inventory control by "pending inspection/qualified/frozen/rework/scrapped" status, supports line-side warehouse virtual location management, physical and book items correspond one-to-one.
- Stagnant material intelligent alerts: Based on storage age and consumption frequency, automatically identifies long-term non-moving materials, pushes alerts to planners and purchasers, promotes return, substitution or disposal, reducing capital occupation.
Pain Point 2: Production line stops due to material shortage, low kit completeness rate
Traditional Mode Dilemma
After work orders are issued, the warehouse cannot quickly confirm whether materials are complete; preparation relies on manual searching and paper document verification, time-consuming and prone to missing allocations, causing production line waiting, frequent line changes, opaque line-side warehouse consumption, delayed replenishment, and frequent emergency material requisitions.
Material kit self-check, integrated picking & allocation, inventory linkage
- Work order kit analysis: System automatically compares work order BOM with real-time inventory, early alerts for material shortage lists, guiding procurement and preparation priorities.
- Smart picking by work order/by workstation: Generates picking tasks based on work orders, supports "kit picking + sequenced picking", ensuring materials are precisely kitted in workstation order.
- Line-side warehouse pull replenishment: Based on storage age and consumption frequency, automatically identifies long-term non-moving materials, pushes alerts to planners and purchasers, promotes return, substitution or disposal, reducing capital occupation.
Pain Point 3: Quality traceability and supervision difficult
Traditional Mode Dilemma
When complaints or quality accidents occur, unable to quickly locate "raw material, supplier, production worker, quality inspector", lacking a complete traceability data chain. After raw materials enter the warehouse, qualified, pending inspection, and unqualified products are mixed together, easily mis-shipped causing production stoppage.
Chain binding, forward/reverse traceability, mandatory control
- Batch/serial number full-chain binding: From raw material receipt to finished product warehousing, fully records batch number, serial number, supplier, production work order, operator and other key information.
- Forward/reverse traceability second-level query: Enter finished product serial number, instantly query used material batches; enter raw material batch, instantly query affected work orders and finished products, precisely locking recall scope.
- Quality status mandatory control: IQC inspection results auto-sync, unqualified batches are automatically frozen by the system, only "qualified" status materials can be picked for work orders, preventing errors from the source.

03 Function Introduction
"Zhijian WMS" basic functions include data modeling, inventory management, inbound management, outbound management, etc., supports third-party system collaboration, and provides external API interfaces.
Function Architecture

3.1 Material Management
Material management is the data cornerstone of all warehouse operations, providing a unified data baseline for all business links such as inbound, putaway, picking, counting, and traceability.
- Material Master Data: Uniformly manages material attributes in system business, including material name, code, type, specification model, etc., ensuring the uniqueness of materials in the system.
- Material Type: Establishes a material type dictionary, unifying material type naming conventions and codes, providing standard specifications for material master data.
- Material Unit: Establishes a material unit dictionary, unifying material type naming conventions and codes, providing standard specifications for material master data.
3.2 Batch Management
Batch management is a refined control method that groups a set of materials with the same attributes, same production/procurement cycle, and same quality status into a "batch unit", assigning a unique batch number for full lifecycle tracking.
Batch Management Role
- When receiving/completed warehousing, scanning or entering batch information is mandatory; the system binds the batch to material code, quantity, container, and storage location.
- Configure batch matching rules for outbound: First In First Out (FIFO), First Expiry First Out (FEFO), specified batch priority, same batch priority.
- Control whether different batches of materials are allowed to be stored in the same storage location and same container.
Batch Definition and Generation Each batch number carries rich dimensional data, such as: supplier, production date, inbound date, shelf life, batch number, quality inspection result, project number, version number, etc. Common coding rule examples:
Supplier + arrival date + serial number:SUP001-20261009-0001Production task number + process number:WO-20261009-005-OP10
3.3 Barcode Management
Barcode management is a basic support function that assigns digital identities to physical objects such as materials, containers, locations, and documents, and achieves automatic data collection and verification through scanning.
- Supports custom barcode encoding rules: prefix (material/container/location type code) + master data (material code, batch number, serial number, etc.) + check digit.
- Triggers printing at receiving, putaway, production completion and other links; supports batch printing, reprinting, re-printing; records print logs to prevent duplication.
- After scanning by PDA/handheld terminal/fixed scanner, the system automatically parses barcode meaning and links to corresponding business operations.
- Barcodes can be set to valid, void, frozen and other statuses; serial number barcodes can record usage count (e.g., repaired parts circulated multiple times).

3.4 Label Management
Label management is the full lifecycle control function for various physical identification carriers (labels, nameplates, hangtags, etc.) required for warehouse operations, from design, printing, distribution to recycling/voiding.
- Supports multiple label types: material labels, container labels, location labels, document labels, logistics waybills, asset nameplates.
- Supports status management: valid, void, lost, used, recycled; supports scrapping/cancellation operations.
- Prevents duplicate printing and abuse; supports print count limits (e.g., serial number labels only allow one print).
- Serial number labels can track print count, pasting location, and whether scanned and confirmed by the system.
- Reprinted labels can be marked with "reprint" identifier, linked with original labels, avoiding traceability confusion.
- Integrates barcode printers (Zebra, TSC, etc.), supports batch printing, designated printers, mobile printing.

3.5 PDA Management
PDA Management (handheld terminal management) is the terminal control hub for access control, task interaction, data collection and behavior constraints on warehouse on-site mobile work devices (handheld terminals, industrial tablets, wearable scan devices, etc.).
- Each PDA device is bound to a unique device code (or MAC address), registered and filed in WMS, controlling which devices can access the system.
- Operators log in to PDA using employee number/fingerprint/face recognition; the system assigns function menus and data permissions by role.
- When network is unstable, PDA can cache task data and scan records, automatically syncing to WMS after network recovery.
- Supports photo upload, voice remarks, real-time sync of exception status to WMS dashboard.
3.6 Warehouse Management
Warehouse management function is the spatial carrier connecting material master data with on-site operation execution. Through logical modeling of physical warehouses, it precisely binds "goods, location, people, equipment", ensuring every operation has clear spatial coordinates and rule guidance.
Zone Management
Performs macro logical division of the overall physical space of the warehouse, serving as the basic unit for the system to execute putaway strategies, operation scheduling and permission control.
Location Management
A function for refined definition and dynamic control of the smallest physical space units within zones, achieving the core of "precise cargo location binding, operation strategy implementation, real-time inventory visibility".
3.7 Container Management
Container management is a function module for full lifecycle digital control of all carrier units used to load, store, and transport materials in the warehouse. Used to manage physical carriers for collective material storage, common forms include: pallets, turnover boxes, bins, boxes, cartons, etc. Achieves binding and full tracking of "container-material-location-task".

3.8 Warehouse Operations
Counting, transfer, and allocation are the three core functions in daily warehouse operations that ensure inventory accuracy, reasonableness, and coordination. Together they form the "triangular support" of in-warehouse inventory adjustment, ensuring materials exist in the right time, right place, and right status.
Counting Management
- Supports planning by zone, material type, ABC classification, batch and other dimensions; cyclic counting frequency can be set.
- Counting differences automatically generate reports; after approval, inventory adjustment orders are generated to update ledgers; supports recount and cause analysis.
- Supports open counting (shows system quantity, verify physical), blind counting (only shows location, no quantity, anti-cheating); supports PDA scanning or RFID batch reading.
Transfer Management
- Supports manual creation, system strategy auto-trigger (e.g., replenishment transfer, shelf-life transfer), or work order demand trigger.
- From storage area to picking area/line-side warehouse replenishment, supports replenishment by wave, by work order, by minimum package.
- PDA scan transfer-out location → scan transfer-in location → confirm, system real-time updates location occupancy and inventory coordinates.
Allocation Management
- Based on inter-plant material demand, inventory water level, and production plan, generates allocation orders, executed after approval.
- Sending warehouse picks, packs, scans outbound according to allocation order; system updates inventory to "in transit".
- Receiving warehouse receives goods per allocation order, scans to verify material/quantity, confirms and puts away, inventory ownership transfers.
3.9 Inventory Management
Inventory management is the data and status hub connecting all warehouse operation actions (inbound, putaway, picking, transfer, counting, outbound). Real-time, refined, multi-dimensional control of inventory location, status, batch, ownership ensures complete account-physical consistency.
- Real-time displays dynamic inventory of materials in each warehouse, including total inventory, available quantity, occupied quantity, frozen quantity, scrapped quantity;
- Every inventory change (receive, issue, transfer, count, allocate) generates tamper-proof transaction records, including operator, time, document number, before/after quantities, supporting full audit and traceability;
- Supports multi-dimensional statistics of inventory distribution by work order, supplier, project, customer, etc.;
- Supports automatic identification of stagnant materials by storage age (e.g., 90 days/180 days non-moving), promoting return or alternative use.

3.10 Arrival Notice
Arrival notice is the key collaboration node connecting supply chain upstream with warehouse execution. Before goods physically arrive at the warehouse, suppliers or internal production departments pre-send arrival information, transforming the warehouse from "passively waiting for goods unloading" to "actively scheduling resources".
- Supports automatic ASN reception from ERP, supplier collaboration platform or MES, or manual creation by warehouse personnel.
- System automatically validates whether material code is valid, whether it exceeds purchase order undelivered quantity, and whether packaging specifications are compliant.
- System automatically generates receiving list based on arriving materials, supporting next-node tasks.
- After arrival sign-off, system automatically generates "Material Arrival Sign-off Form" for archiving.

3.11 Receiving List
Receiving management is the first execution checkpoint of warehouse operations, responsible for verifying, checking and confirming actual arrived physical goods against arrival notices, purchase orders or production completion orders, ensuring "goods, documents, system" three-way consistency, laying an accurate foundation for subsequent putaway, quality inspection, and warehousing.
- Supports creating receiving tasks from multiple sources such as arrival notice, purchase order, production completion order, supports document-free receiving.
- Supports scanning container codes/material codes via PDA; system automatically brings up expected information, enter actual received quantity.
- Supports on-site batch number, serial number collection.
- For shortages, over-delivery, wrong materials, packaging damage and other exceptions, real-time record type, photo upload, generate difference report.
- When supplier hasn't labeled or labels are non-standard, print barcode/RFID labels on-site, bind materials and containers after pasting.

3.12 Inbound Notice
Inbound notice is the internal instruction hub connecting receiving/quality inspection with actual putaway operations, notifying warehouse personnel "which materials have met warehousing conditions and require putaway operations", a key handover point for warehouse operations from "verification" to "putting in place".
- Multi-source auto-generation: Supports automatic generation from events such as receiving confirmation, IQC inspection pass, MES completion reporting, return approval; also supports manual creation.
- Source document association: Links source documents such as purchase orders, production work orders, return orders, allocation orders, ensuring account-physical correspondence.
- Putaway strategy recommendation: Based on putaway strategies (e.g., ABC classification, material size, weight, turnover rate), automatically recommends optimal locations, or designates fixed locations.
- Task dispatch: Supports converting inbound notices into specific putaway tasks, assigned to designated personnel or equipment (forklift drivers, AGVs, tally clerks).
- Document archiving: Supports system auto-generating "Inbound Order" for archiving.

3.13 Putaway Execution
Putaway execution is the last-mile on-site operation of warehouse operations from "receiving/quality inspection" to "inventory available". It transforms tasks generated by inbound notices into specific handling and placing actions, completing "goods-location" binding via PDA or automated equipment, ensuring materials are accurately placed and inventory becomes effective in real time.
- PDA task reception: Executors receive putaway tasks via PDA; screen displays target location, material code, batch, quantity, container number and optimal path.
- Location scan verification: After arriving at target location, scan location barcode; system real-time verifies whether it matches task recommended location.
- Material scan confirmation: Scan material label or container code, confirm specific items and quantities for putaway, system automatically links to that location.
- On-site exception reporting: When recommended location is full, goods damaged, physical goods don't match task, etc., initiate exception report on-site via PDA.

3.14 Outbound Notice
Outbound notice is the instruction starting point connecting upstream business demand with downstream warehouse execution, usually initiated by ERP or MES, generated after verifying inventory availability, transforming warehouse operations from passive storage to active distribution.
- Multi-source demand access: Supports receiving production material requisition applications from ERP, production line material calls from MES, sales order shipment instructions, purchase return notices, etc.
- Inventory availability verification: System real-time checks whether inventory meets demand: sufficient available quantity, compliant batch/serial number, quality status "qualified".
- Inventory pre-occupation locking: After verification passes, system locks specific location inventory by strategy (FIFO, specified batch, specified serial number), preventing it from being appropriated by other documents.
- Picking task dispatch: Converts outbound notices into specific picking tasks, assigned to personnel (PDA) or equipment (AGV, sorting line), and recommends optimal picking path.

3.15 Picking Execution
Picking execution is the on-site operation link of taking materials from specified locations and transporting them to the review area according to outbound picking tasks, the execution action of warehouse operations from "inventory locking" to "physical goods leaving location".
- Multiple picking modes: Supports order picking, wave picking, consolidated picking and other modes; automatic path optimization (e.g., S-shaped path).
- Scan matching verification: Supports scanning material labels/batch numbers; system verifies whether they match tasks; for serial number managed materials, scan and verify item by item.
- Quantity entry and container binding: Supports entering actual picked quantity (supports partial picking), scan turnover box/pallet barcode, system binds "material-container-work order" relationship.
- On-site exception reporting: When encountering material shortage, physical goods don't match system, packaging damage, etc., initiate exception report on-site via PDA; system automatically triggers replenishment tasks or notifies supervisor, avoiding operation stagnation.

3.16 Outbound Verification
Outbound verification is the last quality defense line of the warehouse outbound link. After picking and before physical goods leave the warehouse, it performs secondary verification of picked materials to ensure "shipped goods completely match document requirements", preventing wrong, missing, or over-shipment.
- Multiple review modes: Supports order review, wave consolidated review, pick-and-review and other modes.
- Scan item-by-item comparison: Scan material barcode/container code; system compares actual material code, batch, serial number with outbound requirements item by item, enter actual shipped quantity.
- Packaging and transportation verification: Supports verifying turnover box/pallet number, packaging integrity, shock/moisture protection measures meet transportation or production line distribution requirements.
- Label document printing: Supports automatic printing of shipment labels, packing lists, linked with outbound orders.
- Difference handling process: Supports difference review, re-picking, concession shipment (requires approval) and other processes.
- Inventory deduction and system sync: After review confirms no issues, system updates inventory status to "outbound", deducts book inventory, and real-time syncs to ERP/MES and TMS.
